Notebooks and writing pads can be a more substantial promotional item than a pen. A well-chosen notebook may stay in use beyond a single meeting. This guide helps you match the material and cover decoration to the occasion, then plan quantities and setup.
When to choose a notebook or writing pad
Start with the occasion before choosing a material. Notebooks and writing pads suit different uses:
- Hardcover notebook: A possible premium gift for workshop participants, employee sets, executive folders and conference bags. Its useful life depends on its construction and use.
- Softcover notebook: A flexible mid-range promotional item for conferences, training materials or the start of a consulting engagement. Setup may be simpler, depending on the model.
- Spiral writing pad: Useful for meetings, a practice reception desk or notes taken on calls. A frequently used item that may call for repeat orders.
- Writing pad and conference folder: Options for sales training, external meetings and field-work sets. They offer a larger print area and a more formal presentation.
For broad distribution, compare a notebook with a smaller promotional item such as a ballpoint pen. If you want an item that can be used for longer, a suitable notebook may make sense. See the wider occasion guide in our promotional-products overview.
Material types at a glance
- Genuine leather: Genuine leather may develop a patina, depending on the surface. We check blind or foil embossing, availability and lead time for the chosen model.
- PU imitation leather: PU imitation leather comes in different finishes and price ranges. Embossing and engraving depend on the exact cover and manufacturer’s specifications.
- Recycled card (kraft-paper look): Screen or UV printing may suit recycled card. We check material origin, print suitability and setup costs for the model.
- Rigid card with a linen cover: A classic hardcover notebook. Foil stamping is a common option; UV printing may also work. It offers a structured finish without the cost of leather.
- Felt cover: A contemporary material option. Whether laser engraving works, and how it looks, depends on the felt and coating. It may suit design studios and architecture projects.
- Wooden cover (often birch or bamboo): A less common premium option. Laser engraving may work; the mark and its durability depend on the material and use.
Choosing a material by use
| Use | Best choice | Alternative | Method |
|---|---|---|---|
| Executive gift | Genuine-leather hardcover | Premium PU imitation leather | Blind or foil embossing |
| Workshop / conference | PU imitation-leather hardcover | Rigid card with linen | Foil stamping or UV printing |
| Start of a consulting engagement | Linen-covered rigid card | PU imitation-leather softcover | Foil stamping |
| Eco-focused brand mailing | Recycled card | Felt cover | Screen printing or laser engraving |
| Architecture / design studio | Felt or wooden cover | Matte-black PU imitation leather | Laser engraving |
| Practice reception desk / writing pad | A5 spiral pad | A4 writing pad | Screen or UV printing |
| A4 field-work folder | PU imitation-leather conference folder | Rigid-card folder | Foil stamping |
This table is a guide. A brand colour requirement or an existing supplier standard may call for something else.
Blind and foil embossing on leather

Embossing may suit certain leather and imitation-leather covers. Blind embossing presses the logo into the material with heat and pressure, creating relief without colour. Foil embossing adds a coloured foil, often gold or silver.
Strengths: A distinctive feel without a sticker-like finish. Durability depends on the cover, foil and wear. You can feel the mark in the material.
Limitations: An embossing die brings setup costs; we check tooling and costs for each design and repeat order. Photorealistic designs are not possible. Very fine lines may blur on thick leather.
Good fit: Practical quantity, tooling costs and lead time depend on the cover, design and manufacturer offer.
Screen and UV printing on card
For card, recycled-card and linen hardcovers, two methods are commonly considered:
- Screen printing: Colour appearance and opacity depend on the card, ink and primer. 1 to 4 colours can be printed separately, with setup costs for each colour.
- Direct UV printing: Full colour (CMYK) may be possible, depending on the surface and setup. We check adhesion and print quality on smooth or textured card. Photos and gradients may also be possible.
As a guide, we compare screen printing for single-colour logos and larger orders, and UV printing for multicolour designs. The actual quote determines the economics. For a broader comparison of methods, see our promotional-products overview.
Laser engraving on wood and imitation leather
Laser engraving can work on suitable notebook covers, especially wood, bamboo, felt and matte imitation leather.
Strengths: The mark depends on the material and coating. We check setup and possible quantities for the chosen cover.
Limitations: It is monochrome, with no colour printing. Laser engraving is possible on genuine leather, but gives a different finish from blind embossing. On printed linen hardcover, the laser may burn through the printed layer.
Good fit: Possible quantities for wooden and imitation-leather covers depend on the model and engraving.
Formats and inside pages
- A4: Conference folders, field-work sets and training documents. A larger format with a broad print area.
- A5: A standard notebook format that can suit workshop gifts and employee sets. It fits easily on a desk.
- A6: A pocket format for coats. It may suit notes at client meetings and field work.
- Slim / B format: Narrower specialist formats that may help a brand stand out.
The inside pages shape how a notebook is used:
- Ruled: A familiar choice for everyday notes and many promotional notebooks.
- Squared: Useful for mathematics, architecture and engineering, especially for technically focused teams.
- Dotted: A bullet-journal style that may suit coaching, self-management and workshop journals.
- Blank: For sketchbooks used by design studios or architecture teams.
Custom inside pages may be possible with some manufacturers, such as a designed first page. We check feasibility, minimum quantity and costs for the model.
Quantities and costs
- Under 50 pieces: For small quantities, we compare engraving and embossing by model, tooling and quote.
- 50 to 200 pieces: Embossing may suit workshops or gifts; setup and unit price depend on the cover and design.
- 200 to 500 pieces: For events, we check the material and method at your desired quantity. Both affect the unit price.
- 500 to 2’500 pieces: For employee sets or premium mailings, we compare screen and UV printing using specific quotes.
- Over 2’500 pieces: Larger orders are sometimes combined with personalised inside pages or special editions.
Lead time depends on the cover, format, quantity and current availability. Tell us your preferred date so we can check it.
Planning example: consulting workshop
Planning example: A consulting firm wants 120 notebooks as gifts for participants in a two-day workshop series. The brief calls for a premium look without a genuine-leather budget, an elegant monochrome logo and a distinctive feel at the workshop welcome desk.
For this planning example, we could check an anthracite A5 PU imitation-leather hardcover with silver foil embossing and dotted pages. We would need to confirm lead time and availability for the chosen model.
For a possible future workshop series, record the model, cover colour, embossing and inside pages. Availability, date and setup costs must be checked again for a repeat order.
Frequently asked questions
Which cover material might suit my project?
A PU imitation-leather hardcover may offer a good balance of feel and price. If you want genuine leather, we’ll compare available models and costs for your quantity.
How long does foil embossing last on imitation leather?
Durability depends on the cover, foil and use. Friction may cause wear; an unlimited lifespan cannot be promised.
Can the logo go on the first inside page?
Yes. A designed first page may be possible, depending on the model and manufacturer. We confirm the minimum and cost for your chosen version.
Which method looks most premium?
That depends on the cover and design. Compare samples of blind embossing, foil embossing and printing, and ask for costs for the chosen model.
What are typical lead times?
To give a firm lead time, we need the model, format, quantity and approval date. Special materials and large orders may need more time.
Are recycled-card notebooks really more sustainable?
Recycled card uses recovered fibres. Whether the finished notebook has a lower environmental impact depends on its material content, production and transport. Ask for reliable product information if you want to make an environmental claim.
Can you add each recipient’s name to a notebook?
Individual names may be possible, depending on the cover and method. We check engraving and foil embossing against the model, design and quantity. This may suit workshop sets or premium gifts.
